1. Who we are
Via ("we", "us", "our") provides a destination wedding planning website and tool, including a venue directory and a private wedding hub for couples and their guests. This policy explains what personal data we collect, why, and what rights you have over it.
2. What we collect
If you create a Wedding Hub account: your name, your partner's name, email address, and any wedding details you choose to add (date, venue, guest list).
If you're a guest submitting an RSVP: your name, email address, RSVP status, dietary requirements, and any notes you provide.
Automatically, via Google Analytics: anonymised usage data such as pages visited, general location (country/city level), device type and how you found the site. This helps us understand how the site is used and improve it.
3. Why we collect it, and our legal basis for doing so
To provide the wedding hub service you've signed up for (managing your guest list, RSVPs, budget, seating and vendors), to let your guests RSVP and access the information you share with them, and to understand and improve how the site is used.
Where UK or EU GDPR applies, our legal basis for processing wedding hub account and guest data is performance of a contract, we can't provide the service you've asked for without it. Analytics cookies are processed only with your consent, which you can withdraw at any time (see Cookies, below). Where a guest submits dietary requirements, we treat this as special category data (see section 3a) and rely on your explicit consent, given at the point of submission, as the basis for processing it.
3a. Dietary requirements and special category data
Some dietary requirements (for example, halal or kosher) can indirectly reveal a person's religious beliefs, and some (such as a medical allergy) relate to health, both are treated as "special category data" under GDPR, which requires extra care. We only collect this where a guest chooses to provide it when RSVPing. It's used solely to share with the couple whose wedding they're attending (so catering can accommodate it), and it's never used for any other purpose, sold, or shared with third parties.
4. Where your data is stored
Wedding hub data (accounts, guests, budget, seating, vendors) is stored using Supabase, a database provider, hosted in a data centre in the EU (Ireland). Analytics data is processed by Google Analytics.
5. Who can see your data
Your wedding hub data, guest list, budget, seating chart, vendor details, is private to your account and protected by access controls so that only you can view or edit it. Guests can only see information you explicitly choose to share with them (such as dress code or venue details) and can submit an RSVP, which becomes part of your private guest list.
6. Your rights
If data protection law (such as UK GDPR or EU GDPR) applies to you, you have the right to access the personal data we hold about you, request corrections, request deletion, object to or restrict certain processing, withdraw consent at any time where we rely on it, and request a copy of your data in a portable format. To exercise any of these rights, contact us at the email below.
You also have the right to lodge a complaint with a supervisory authority. If you're in the UK, this is the Information Commissioner's Office (ICO), ico.org.uk. If you're in the EU, you can complain to your local data protection authority.
7. Data retention
We keep your account and wedding hub data for as long as your account is active. If you'd like your account and associated data deleted, contact us and we'll action this within a reasonable timeframe.
8. Cookies
We use analytics cookies via Google Analytics to understand site usage. When you first visit Via, you'll be asked to accept or decline these cookies. We only set them if you accept. You can change your mind at any time by clearing your browser's local storage for this site, which will show the choice again on your next visit.
9. Third-party services
We use the following third-party services, each with their own privacy practices: Supabase (database and authentication), Google Analytics (usage analytics), and OpenStreetMap/Leaflet (venue map display). We link out to independent, third-party venue websites, which have their own separate privacy policies.
Google Analytics may process data on servers outside the UK/EU. Google provides its own safeguards for these transfers (such as Standard Contractual Clauses); you can read more in Google's own privacy policy. If you'd prefer not to be included in this, you can decline analytics cookies when you visit, or opt out at any time using Google's Analytics opt-out browser add-on.
10. Changes to this policy
We may update this policy from time to time. Material changes will be reflected with an updated "last updated" date above.
